Role Overview

Are you passionate about facilitating team success and wellbeing? We’re looking for a people centric, and organised business admin professional to join our growing agency team. As our team coordinator your role will be to lead the organisation of team days, activities and events, coordinate our MDs activates and meetings, support project management on client work, setting up client events and assisting in marketing and sales responsibilities.

Role Highlights

Team culture & office coordination

  • Ensuring the Truth team feels supported in their daily activities and tasks.

  • Acting as the social and office glue for the team.

  • Organising team meetings, events, days out, and inclusive social events to make everyone feel valued and included in the team culture.

  • Managing the day-to-day operations of the Truth office, helping to keep it organised and ensuring the team has the necessary supplies.

  • Supporting the onboarding of new team members and providing training where appropriate, such as the use of internal systems, timesheets, and expenses, to ensure everyone who joins Truth feels welcome and supported.

  • Categorising and organising our server folders (project folders, proposals, etc.) and maintaining an organised server, ensuring everyone knows where to find important documents, including those about wellbeing and HR policy.

  • Liaising with IT and Facilities regarding regulations, training, and other elements of office logistics.

  • Introducing and maintaining team processes that ensure everyone can run their day-to-day activities smoothly and efficiently.

  • Organising internal meetings, Show & Tells, weekly team meetings, office social events, and external training events – this may include updating slides on PPT and printing supporting materials.

Executive support

  • Supporting the MD of Truth on a day-to-day basis, including some diary management and administrative support, organising meetings, and providing tech support.

  • Managing the company events diary; scheduling internal, client, and new business meetings, and arranging dinners and other networking/corporate entertainment events.

  • Completing monthly credit card statements and expense forms on behalf of senior management. Also assisting the Finance team with monthly company recharges.

  • Managing the training and team wellbeing budget.

  • Maintaining/updating internal employee systems (e.g., Toggl, People).

  • Arranging venue hire, meeting rooms, materials, and catering for projects and events, both internally and externally.

Project management (client work)

  • Liaising with the company travel agent to arrange national and international travel, including trains, flights, and accommodation for the wider team.

  • Creating and updating a database of different hard-to-reach audiences and experts, and managing the contact database for our annual internal client survey, the CSAT.

  • Managing and keeping up-to-date records of office suppliers and freelancers.

  • Running the procurement process for Truth’s clients, liaising with central functions.

 

Sales and marketing

  • Maintaining/updating new business records, including lead generation.

  • Supporting commercials by keeping our HubSpot (our CRM database) up to date.

  • Assisting in direct marketing activities and event invites using HubSpot and other GDPR-approved invitation and hosting services.

  • Monitoring the Truth inbox and processing new contact requests from potential clients, looping in the MD and senior team.

Essentials

  • Experience in a working/business environment is a must.

  • Strong knowledge of Microsoft Office, particularly Word, PowerPoint, and Excel.

  • An interest in creating and managing new processes and introducing new tools and ways of working.

  • Strong written and verbal English skills – a natural communicator.

  • Office attendance a minimum of 4 days a week at our offices at 65 Gresham St is required.
